Your data: access, export and ownership

Where your Nuvailo data lives, who inside your firm can reach it, how to export everything at any time, and exactly what happens to it if you leave.

Two questions decide whether a firm puts real numbers into a system: who can see them, and can we get them out. Both should be answerable before you commit.

Scoping

  • Every record belongs to one company. Nothing is shared across companies.
  • Within the company, access is by role plus project assignment. See Roles and permissions.
  • Client logins are scoped to their own client company projects, read-only.

Export

BOQs, ledger entries, attendance and project reports export in structured spreadsheet form, keeping the layout you read on screen. A full company export is available on request.

Take an export at the end of each project as part of your close-out routine. It costs nothing and gives you an archive independent of any system.

People leaving

  1. 1

    Deactivate, do not delete

The login stops working immediately and their historical entries stay correctly attributed.

  2. 2

    Remove project assignments

Belt and braces, and it keeps the project team list accurate.

  3. 3

    Reassign open items

Anything assigned to them on the board moves to a named person rather than being orphaned.

Deleting a user to tidy the list detaches their history from a name. Once the entries say nobody, an audit cannot be completed.

Passwords and sessions

  • Each person has their own login. Shared accounts break the audit trail and are the most common security weakness in an SME rollout.
  • Password reset is self-service by email.
  • Sessions expire, and mobile entries queued during an expired session upload after the next login.
